# How much does an AI agent cost? Rent, build or custom: which one fits your business

When to rent an agent, build your own or have one built, what each costs from published prices, what the quotes leave out, a one-minute check on your own process, and what we charge.

The short answer

Renting an AI agent costs about $1 to $2 per conversation, and the bill grows with your volume. Having one built costs roughly $1,500 to $16,000, plus a few hundred dollars a month. Neither price covers the rest of the process: the approval, the record, the next step. We build the whole process, from $5,000. On average a build pays for itself in about 12 weeks on your own numbers, and if it wouldn’t within a year, we don’t propose it.

## 01 First, what are you actually paying for?

Ask five vendors what an AI agent costs and you’ll get five kinds of answer: a dollar a conversation, $30 a user a month, $8,000 to build, $60,000 to build. They’re all true, because they’re pricing different things. So, briefly, what the thing is:

- **An AI agent** is AI with a goal, some tools, and permission to decide its own next step, until the job is done or it needs a person.
- **You need one when** the work arrives messy (emails, PDFs, calls) and the steps change case by case: researching a prospect, sorting an inbox, working out what a customer actually wants.
- **You often don’t.** Where the steps are known, a workflow with AI at a few of them is cheaper and easier to trust; where the input is tidy and the steps never change, plain automation with no AI at all.

The full answer, with examples from businesses like yours and a one-minute check for your own process: [What is an AI agent, and does your business actually need one? ›](https://www.streamlight.ai/blog/what-is-an-ai-agent/)

Now, the money.

## 02 Why does every price look so different?

Because there are three ways to get an agent, and each prices something different:

- **Rent one** from a software vendor, priced **per conversation** or per problem solved. You get their agent, inside their product: Intercom’s Fin answering support questions, HubSpot’s Breeze agents working in your CRM, or ServiceTitan’s voice agent answering calls and booking jobs.
- **Build your own on a platform,** priced **per user per month.** You get the tools, such as n8n, Zapier or Microsoft’s Copilot Studio; the building, and the fixing, is yours to do.
- **Have one built,** priced **per project**, plus a monthly cost to run and maintain it.

Comparing a per-conversation price with a project price is comparing a taxi fare with buying a van. Both can be right; it depends how much you drive.

## 03 When should you rent one, build your own, or have one built?

Each fits a different size of job, and a price only makes sense once you know which size yours is.

- **Rent one when the job lives inside one tool.** Salesforce’s and HubSpot’s prospecting agents research prospects, surface the ones showing interest and draft outreach, inside the CRM and on the CRM’s data. Intercom’s Fin answers support questions from your help centre. The scope is that product: its data, its rules, its idea of the job. If that’s all you need, renting is quick and sensible.
- **Build your own when the job is small and someone can look after it.** A founder who already automates can set up an agent on n8n, Zapier or Copilot Studio to sort a shared inbox or draft first replies. Cheap to start; the building, the fixing and the 9 pm phone call are yours.
- **Have one built when the goal is the whole process.** Think of work that has to get from start to finish across several people, tools and stages: an enquiry that’s qualified, quoted, approved, scheduled, invoiced and followed up. In a build like that, the agent is one part of a system that also holds the approvals, the records and the exceptions, with one view of all of it, built around how your business runs.

Most businesses end up with a mix: a rented agent where one tool does one job well, and a custom build where the work crosses the business. With that in mind, here’s what each costs.

## 04 What does renting one really cost?

The best-known prices are public. Intercom’s Fin charges **$0.99** per outcome, with no setup fee and a small monthly minimum. Salesforce’s Agentforce charges **$2** per conversation, or about **$0.10** per action.

Those numbers are easy to remember. Three things about them aren’t:

- **They grow with your volume.** At 1,000 conversations a month, $0.99 is about $990 a month, $11,880 a year; $2 is about $24,000 a year. The busier you get, the more you pay.
- **Some charge for failures too.** Per-conversation pricing bills the ones the agent couldn’t solve: at a 40% success rate, $2 a conversation is $5 per problem actually solved.
- **They cover one job in one tool:** the answer. Not the approval, the record or the next step.

To be fair to renting: the price includes the vendor’s own software and updates, and at low volumes it’s often the cheapest answer. [The one-minute check below](https://www.streamlight.ai/blog/ai-agent-cost/#fit-check) shows which way your own process leans.

## 05 What does having one built cost?

Industry guides from 2026 put a single-purpose custom agent at roughly **$1,500 to $5,000**, and more capable ones at **$6,000 to $16,000**, plus **$300 to $1,600 a month** to run and maintain. The agencies that publish their prices start builds at about $7,000 to $8,000.

**Before you compare**

Most published build prices come from firms that sell builds, including us. Read them as ranges, and compare what each one includes, not just the number.

## 06 What do those prices leave out?

An agent answers. Then the work has to go somewhere: to someone who approves it, into the system where it’s recorded, on to the next step. Most quotes for an agent stop at the answer.

An agent on its own. The answer is fast; everything after it still waits for a person.

This is where projects stall. Gartner expects over 40% of agentic AI projects to be cancelled by the end of 2027, for escalating costs, unclear business value or weak risk controls, and notes that fitting agents into existing systems is often complex and costly.

The agent is rarely the expensive part. The steps around it are.

So the useful question isn’t what an agent costs. It’s which kind of job you have, and what it costs to make that whole job pay.

## 07 Which kind of job do you have?

Answer a few questions about one process you’d like to automate. You’ll see whether it’s a rent, build-your-own or custom kind of job, what each would roughly cost you, and what the process costs you today.

Think of one process you’d like to automate, and answer for that process. Don’t know which process yet? [Find it with Where to start](https://www.streamlight.ai/tools/where-to-start/).

1. How many tools does the process run across?

Inside one tool, like enriching leads in HubSpot Across 2 to 3 tools Across the business, using many tools

2. Who works on it?

One person or one team Two teams Three or more, handing work on

3. Does a person need to approve or decide along the way?

No Now and then Yes, at several steps

4. How many times does it run a month?

5. Is there someone on your team who could build an automation like this, and look after it?

Yes, and they have the time No, or they don’t have the time

6. How many hours a week does your team spend on this process today?

## 08 What do we charge, and how do we know it pays?

**On average, a build pays for itself in about 12 weeks.**

Before you pay anything, we work out two numbers with you. The first is what the process costs you today: your team’s time on it, plus any subscriptions the build would replace. The second is the price of the build. Put side by side, they show how long the build takes to pay for itself.

**If your numbers don’t show it paying for itself within a year, we don’t propose it.**

It’s a one-off, fixed price for the build. Not a share of your sales, and not a fee per conversation.

Smaller processes take longer to pay back, up to about six months, because a build costs at least $5,000 and the hours a small process saves are fewer. Beyond six months we look at it case by case, and you know the payback before you decide.

- **The build: from $5,000** for one process, end to end, at a fixed price agreed before you pay anything, and only after you’ve clicked through your own free prototype of it. Two to six weeks to build.
- **Running it: roughly $45 to $70 a month** per process. Hosting and the database are about $25; the AI it calls is $20 to $45, depending on volume. Billed to accounts in your name, with a daily cap you set. These are our estimates from list prices; a live system shows the real figure every day.
- **Care, if you want it: from $600 a month,** for fixes, keeping it current and one or two changes a month. Or run it yourself; it’s your code.

[Work out your price and payback in our calculator ›](https://www.streamlight.ai/#ca-h) Your team, your hours, your tools, and what moves the price.

Typical payback by how much a process costs you today. The bigger the process, the faster a build pays for itself. Your own figure comes from the calculator, and then from your free prototype.

Past about $25,000 we price the build with you on the call.

**What the price includes** is the whole process, not just the agent:

- **The connections** to the tools you already use, so work arrives on its own and leaves where it belongs.
- **AI where it earns its place:** reading, sorting, researching, drafting. Sometimes that’s an agent; often it’s a workflow with AI at two or three steps.
- **Plain rules for the routine,** because most steps don’t need AI at all.
- **A person on the exceptions,** with an approval in one tap, not a hunt through an inbox.
- **The console:** every run, every exception, what each one cost, and the rules, which you can change yourself.
- **Getting your team to use it:** training, a handover, and the first 30 days of fixes free.

## 09 How do you compare quotes?

Whoever you talk to, ask the same six questions. A low number that answers none of them usually isn’t low.

- **Does it connect to my tools,** or does someone copy things across?
- **What happens after the agent answers:** approvals, records, the next step?
- **What does it cost per month to run,** and what if volume doubles?
- **Am I charged when it fails,** or only when it works?
- **Who owns the code, the instructions and the data** if we stop working together?
- **Who fixes it at 9 pm,** and what does that cost?

## 10 Why should you take our word for it?

You shouldn’t have to. So we put the evidence where you can check it:

- **Our prices are published, and so is what moves them.** [Work out yours in our calculator ›](https://www.streamlight.ai/#ca-h)
- **You can click through a working example now.** [Our demo console](https://www.streamlight.ai/#tour=consult) runs common processes for demo businesses end to end, including what each step cost. Yours would be your own free prototype, built around your process and your tools.
- **You own what we build:** the code, the data and the accounts are yours, so the only bill that has to continue is the running cost.
- **We’ll tell you when renting is the better fit.** [The check above](https://www.streamlight.ai/blog/ai-agent-cost/#fit-check) does, and so do we.

## 11 Where should you start?

With one process: the one that eats the most hours. If you haven’t yet, run it through the [one-minute check in our explainer](https://www.streamlight.ai/blog/what-is-an-ai-agent/#agent-check) to see whether it needs an agent at all.

Then try it before you commit. We’ll build a free, clickable prototype of that process around your own tools, with a fixed price and the payback worked out on your numbers. If renting, or nothing, is the better deal, we’ll say so.

### Common questions

Is there a usage bill on top?

Only the running cost, and it isn’t ours: hosting and AI, billed to your own accounts, with a daily cap you set.

Why not just rent an agent for $1 a conversation?

If the job lives inside one tool and the volume is low, that can be the right answer, and we’ll say so. It stops being cheap as volume grows, and it covers the answer, not the rest of the process.

Why not a monthly subscription from you?

Because you own what we build. A subscription would mean renting it back. The only monthly costs are running it, and care if you choose it.

What if the build costs more than the price?

The price is fixed before you pay anything. If you ask for something new along the way, we price it first and you decide.
